Submitting your book to your publisher

Editors-in-Chief may review the yearbook's cover under the Admin section - choose Submit to Publisher to begin the process.


If you see a more simplified Submit to Publisher option, your publishing company may have external proofing tools. Contact your publisher for more information on their proofing system if you do not find proof review tools available directly in the software.

Cover Review


1. Click on the Cover tab to start the process.


2. Click on Create new proof to generate an online version of the cover.
Note that as soon as you send your cover to proofing, further editing is disabled in the Edit Book area.
3. Click on Review cover to preview the cover design.

The cover preview displays guideline markers for safe margins, trim (bleed) and spine areas so you can evaluate image and text placement.

Be sure that important content is within the safe margins and that backgrounds and banners run right to the edge of the page.

If desired, download the cover as a pdf using the link in the top right corner.


Approving the cover design

After evaluating the cover, click on Approve if the page is ready to print. Mark the review as complete to return to the proofing ladder.



Either Cancel proof or Submit to publisher to complete the review process.

Rejecting the cover design

If the cover still needs work, click reject, then enter your comments to provide feedback to person editing the page. Click on Reject again to finalize your comments and return to the proofing ladder.



Book (interior pages) review


Prior to submitting your book, check the Portrait Coverage report on the Overview tab. Ensure that every portrait that is supposed to be in the book has been flowed, and that very portrait has a name. A detailed portrait coverage report is available under Manage Portraits.


1. Click on the Book tab to start the process.



Note that as soon as you send your book to proofing, it will be locked for editing.


2. Click Create new proof.

Note that as soon as you send your cover to proofing, further editing is disabled in the Edit Book area.
3. Click on Review proof to review the interior pages.



Note: An email will also be sent to person who requested the proof to get to this page..
The book proof display safe margins and trim (bleed) to help evaluate image and text placement. Important content should be kept away from the page edges, and backgrounds & banners go to the page edges.

Move through the pages by clicking on the side arrows. Adjacent pages will appear next to each other.

At the bottom of each page, access the Reject or Approve buttons.

 

Approving pages


Approved pages will simply be marked as such. Click undo if you approved a page in error, and need to reject it instead.



Approved pages are locked for future editing - in the editor and the book manager. You may view the page, but no further changes may be made.

 

Bulk approval of the entire book


You are simply approving a few last minute changes, you can skip the page-by-page review by accessing the Bulk approve pages option. Click on the v on the Approve button to access it.

   


Rejecting pages


Reject pages that need revision. Click Reject and add comments to provide guidance on the design changes required. Click Reject to complete the page review.


Rejected pages are highlighted on the book ladder with a red dot over them, ready to open in the editor.




Completing your review


The status tracker in the top right corner indicates when the review is completed.  To re-review the proof, click Edit Proof. Otherwise, click Mark review as complete to proceed.


Once the review is complete, you'll be presented with  options.

 


If serious changes are needed, click Cancel proof.  Return to edit your book pages. The entire book will be sent to a proofing render again.


If your book needs just a few touch-ups, move off Submit to publisher  and return to Edit Book. Re-sending the book to proofing will only re-render the selected pages.



Approved page (green dot) will be locked for editing.

Rejected pages (red dot) may be opened in the editor, with comments showing at page launch. The red dot will disappear from the page's status after it has been edited.



 

 

Once all the rejected pages have been corrected, return to Submit to publisher and create Submit another proof. Only the revised pages will be re-rendered.


Continue the proofing procedure until all pages in your book have been approved.  Your book will be locked from editing when the proof is entirely approved. You may view the proof and the pages in the Editor, but no further changes may be made.

   



Once approved, submit your cover and book to your publisher for printing. Submitting to publisher is the last step - it cannot be undone other than by your publisher.




If you have any doubts, click Cancel Proof and start the process again. Provide a comment, and confirm the proof cancellation. The proofing ladder will return to the start, and your book manager will set all pages to "ready for proofing" - you can reject pages individually to work on them in the editor.

   


Bulk Rejecting All Pages


If you need to restart the entire proofing process to re-enable editing, you can bulk reject pages on a per-section basis or for the entire book.


First, check your book out.

 

Reject individual pages: click on the page menu icon, then choose reject page.


Reject all pages within a section:  click on the menu icon in the far right of the section bar, then choose Reject all pages.


Reject all pages in the entire book: access the book menu icon at the bottom of the book manager page. Choose Reject all pages.

Add a comment to complete the process.


Once completed, all pages that were in the proofing process will show a red dot over them. They will be available for editing again, and will open displaying your comment.

 

Submitting your book


Click on Submit to publisher to send your completed yearbook to your printing company. 



You may receive a warning about your book if it does not meet certain requirements. For instance, if the book is under or over the number of pages required by your publisher, you will receive a notice to fix the problem before submitting.

Once the book meets the requirements of the publisher, you will be allowed to proceed.

If you are sure you want to proceed, click the Yes button.

Your publisher will now have an opportunity to review the proof.

IMPORTANT: Should you need to make further changes to the book or cover after submitting it, then you will need to contact your publisher directly to have them reject it.

 


If your cover needs to be submitted separately, following the same procedures.
